Austin Arbroist Company dba Austin Tree Experts ("Company," "we," "us") operates the Digital Arborist CRM platform (the "Service"). This Privacy Policy describes how we collect, use, and protect information when you use the Service, including its integration with QuickBooks Online.
1. Information We Collect
Account Information: Name, email address, and login credentials for users of the Service.
Customer Data: Names, addresses, phone numbers, email addresses, and other contact information for customers managed through the Service.
Job and Financial Data: Job descriptions, scheduling information, invoices, payment records, and pricing entered into the Service.
QuickBooks Data: When you connect the Service to QuickBooks Online, we access customer records, invoice data, and payment information from your QuickBooks account as needed to perform synchronization.
Google Account Data: If you use Google Sign-In, we receive your Google email address and basic profile information to authenticate your account. If you authorize Gmail integration, we access Gmail solely to send emails on your behalf.
Usage Data: Server logs that may include IP addresses, browser type, and pages accessed within the Service.
2. How We Use Your Information
We use the information we collect to:
- Provide and maintain the Service, including customer management, job scheduling, and invoicing
- Synchronize data between the Service and QuickBooks Online at your direction
- Send emails through Gmail on your behalf when you initiate email actions
- Authenticate your identity and manage account access
- Improve and troubleshoot the Service
3. QuickBooks Online Integration
When you authorize the QuickBooks integration, we use the Intuit API to:
- Search and retrieve customer records from your QuickBooks account
- Create and update customer records in QuickBooks
- Create invoices in QuickBooks corresponding to completed jobs
- Receive webhook notifications when payments are recorded in QuickBooks
We only access QuickBooks data that is necessary to perform the synchronization features you have enabled. We store QuickBooks OAuth tokens securely on our server to maintain the connection. You can disconnect the QuickBooks integration at any time, which revokes our access to your QuickBooks data.
4. Data Sharing
We do not sell, rent, or trade your personal information or customer data to third parties. We share data only in the following circumstances:
- With QuickBooks Online: To perform the synchronization you have authorized
- With Google: To authenticate your account or send emails on your behalf, only when you have authorized Google integration
- Legal Requirements: When required by law, court order, or governmental regulation
- Business Transfers: In connection with a merger, acquisition, or sale of assets, with notice to affected users
5. Data Storage and Security
Your data is stored on secure servers. We implement reasonable technical and organizational measures to protect your information from unauthorized access, alteration, disclosure, or destruction. These measures include encrypted connections (HTTPS), secure token storage for third-party integrations, and role-based access controls.
No method of electronic storage or transmission is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
6. Data Retention
We retain your data for as long as your account is active or as needed to provide the Service. If you request account deletion, we will remove your personal data within a reasonable timeframe, except where retention is required by law or for legitimate business purposes such as maintaining financial records.
7. Your Rights
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate data through the Service interface
- Delete your account and associated personal data by contacting us
- Disconnect third-party integrations (QuickBooks, Google) at any time
- Export your data by contacting us
8. Cookies and Tracking
The Service uses session cookies to maintain your login state. We do not use third-party advertising trackers or analytics cookies.
9. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify users of material changes by posting the updated policy with a new effective date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
